Job Type: Contract (6 Months, Potential for Conversion) | Hybrid

Work Schedule: Full-Time (40 hrs/week), Monday to Friday, 9:00 AM – 5:00 PM PST Compensation: $25.00 USD per hour

This position is a contract-to-hire opportunity. The candidate is required to be onsite three days a week (Tuesday – Thursday) in Los Angeles, CA.

Residency: Must be a U.S. Citizen (USC) or Green Card Holder (GC).

Location: Must be based in California and willing to work a hybrid schedule in Los Angeles.

Summary: Data Integrity in the Beauty Space

We are seeking a highly organized and data-driven Order Management Specialist (Contract) to join our client, a fast-paced wholesale retail operation in the beauty industry. This hybrid role is crucial for maintaining the accuracy and integrity of high-volume order data across internal systems, retail partner portals, and EDI transactions.

The ideal candidate has a proactive, data-driven mindset, understands the nuances of vendor compliance and fulfillment timelines in the beauty space, and is based in California.

Key Responsibilities

You will serve as the essential link between sales, finance, and the warehouse, ensuring orders are processed efficiently and accurately:

Data Management: Download customer orders via SPS Commerce EDI and manually organize data into a master file, ensuring accurate entry into the respective system without duplication.

Fulfillment Check: Compare order quantities against warehouse inventory reports to monitor and verify order fulfillment status.

Administrative Reporting: Manage and report on detailed customer order specifics, including order quantity and amount per customer/SKU, on a weekly and monthly basis.

Compliance & EDI: Monitor the status of REACH orders, update ASN and Invoice in SPS Commerce, and troubleshoot any related issues.

Financial Validation: Understand allowance/discount structures for each vendor and ensure accurate submission. Issue credit/return orders and collaborate with the finance team to investigate discrepancies.

Coordination: Communicate effectively with cross-functional teams to ensure timely processing of customer orders and support any required customer service.

High Volume Handling: Successfully manage a high volume of Purchase Orders (POs) and vendors.

Requirements

Education: Bachelor’s degree required (Supply Chain Management or a related field preferred).

Experience: 2–4 years of experience in an order management, data entry, or sales support role, specifically within a wholesale or retail beauty brand is highly preferred.

Technical Skills:

          ✔️ Working knowledge of retailer portals and EDI transactions.

          ✔️ Expertise in Microsoft Excel (ability to maintain complex spreadsheets, including VLOOKUP, Pivot Tables, and report creation).

          ✔️ Experience with an ERP system (SAP preferred) is a plus.

Soft Skills: Excellent verbal and written communication skills, ability to multitask effectively, and a desire to continually seek process improvements in a fast-paced environment.
